  • Professional details: the positions you are interested in, current job title, work location, skills, years of experience, languages, certifications and qualifications.
  • Work preferences: type of contract, live-in or live-out, working schedule, preferred locations and salary expectation.
  • References and checks: whether you can provide references and whether you hold, or can obtain, a criminal record certificate or the certificate for working with minors. We only ask whether you have them; we do not collect the certificates through our website.
  • Eligibility answers: whether you hold a driving licence, whether you are authorised to work in Spain and whether you would need sponsorship. We only ask for these answers. We do not ask you to upload identity or immigration documents through our website.
  • Availability and mobility: start date, business travel and relocation preferences.
  • Your CV and any information you choose to include in it, plus anything you add under “Additional information”.

If you book a consultation

  • Name, email, phone number and the date and time of your appointment.

  • Our hosting provider records basic technical information (such as IP address, browser type and pages visited) to keep the website secure and working.

Emails from us

Contacting you about positions that match your profile, or about your enquiry or booking, is part of the service you asked for.

We will only send you other emails, such as news, updates and new opportunities, if you tick the separate, optional box on our form. This is not required to register. You can unsubscribe at any time using the link in any email or by writing to hello@eliteestatestaff.com, and we will stop straight away.

How CVs are processed

To organise our database, the text of uploaded CVs is read by an artificial intelligence tool that produces a short summary and lists skills, languages and qualifications. This only helps our team find the right profiles faster.

No decision about you is made automatically. Every profile is reviewed by a member of our team, and you can ask us at any time to correct the summary or not to use this tool for your CV.

Who can see it

Access to your data is limited to the Elite Estate Staff recruitment team. We do not sell your data. We use trusted service providers who process data on our behalf, under contract and only following our instructions:

  • Wix.com — website hosting and consultation bookings.
  • n8n — processing of our registration forms and our candidate and client database.
  • Anthropic — the AI tool that reads and summarises CVs.
  • Our email and calendar providers, to communicate with you and manage appointments.

With your permission, we share relevant parts of a candidate’s profile with a client family or estate considering them for a position. We may also disclose data where required by law.

Transfers outside the EU

Some of our service providers may process data outside the European Economic Area, for example in the United States or Israel. Where this happens, the transfer is protected by a European Commission adequacy decision (including the EU–US Data Privacy Framework where the provider is certified) or by the European Commission’s Standard Contractual Clauses. You can ask us for more information about these safeguards.

How long we keep it

  • Candidate profiles and CVs: while you are actively looking for work with us and for up to 2 years after our last contact with you. After that we delete them, unless you ask us to keep your profile.
  • Client enquiries: for as long as we are working together, and afterwards only as long as required by tax and commercial law.
  • Consent to receive emails: until you unsubscribe or withdraw it.
  • If you ask us to delete your data, we do so without undue delay, except where the law requires us to keep it.

Your rights

You have the right to:

  • access the personal data we hold about you;
  • have inaccurate data corrected;
  • have your data deleted;
  • restrict or object to how we use it;
  • receive your data in a portable format;
  • withdraw your consent at any time. This does not affect anything we did with your data before you withdrew it.

To use any of these rights, email hello@eliteestatestaff.com with the subject “Data protection”. We will reply within one month. We may ask you to confirm your identity.

If you are not satisfied with our answer, you can make a complaint to the Spanish Data Protection Agency (Agencia Española de Protección de Datos, www.aepd.es).

Security

We take appropriate technical and organisational measures to protect your data against loss, misuse and unauthorised access. These include encrypted connections, restricted access for our team only, and careful selection of our service providers.

Changes to this policy

We may update this policy from time to time. The latest version is always available on this page, with the date of the last update at the top.
